This policy explains what personal data we collect through this site, what we use it for, and what your rights are.
Personal data collected through this site is processed by cova spaces [legal entity name, tax ID and address — to be filled in]. For any question about your personal data, contact us at geral@cova.pt.
When booking the meeting room or cowork days: name, email, phone, booking dates and times, and any notes you provide. When contacting us through the form: name, email, phone (optional) and your message. When becoming a member (fixed resident, flex resident or virtual office): name, email, phone and the plan you signed up for. With your consent, we also collect technical usage data through analytics cookies — see our Cookie Policy.
To manage bookings and provide the services you request (performance of a contract); to respond to contact requests (pre-contractual steps); to manage member accounts (performance of a contract); to comply with legal obligations, namely accounting ones (legal obligation); and, with your consent, to understand how the site is used and improve it (consent).
We use the following service providers to operate the site and our services: Supabase (data storage and authentication), Resend (transactional emails, such as booking confirmations) and, once online payment is enabled, a certified payment provider. These providers only have access to the data strictly necessary to provide their service and are contractually bound to protect it.
Some of these providers may process data outside the European Economic Area. In those cases, we ensure appropriate safeguards are in place, such as the European Commission's Standard Contractual Clauses.
We keep your data for as long as our contractual relationship lasts and, after it ends, for as long as needed to comply with legal obligations. Data from one-off meeting room or cowork day bookings is kept for up to 2 years after the booking, unless you request its deletion sooner.
Under GDPR, you have the right to access, rectify, erase, restrict or object to the processing of your data, as well as the right to data portability. You can exercise these rights by contacting geral@cova.pt. You also have the right to file a complaint with Portugal's data protection authority (CNPD).
